SALE PROCESS
Once a contract and payment is received, is name selection. Names are drawn from a radius around your store. The amount of names and the zip codes they are in will be faxed to you so you may select the zip codes you want to mail to.
A proof of the mail piece is faxed or emailed to you so you may make any changes (add or delete items on the mail piece) and verify the correct addresses and phone #’s are on the mail piece. You will also receive proof of escrow to cover any vehicle or large cash winnings.
We provide the dealer with a “blue-print for success” manual.
You will be faxed a “Be-Back” log. This log is for customers to register to win the vehicle leading up to the event. This log contains 40 pre-insured registration #’s. Customers who have not received an invitation before the event and are leaving without purchasing a vehicle for any reason other than credit, will be instructed by your sales people that you are giving away a vehicle during a special event, so come back with the # during the event to see if you win. This create a be-back that was previously un-closeable and now you get a second shot at them.
4-5 days before the sale the mail will be picked up by the post people at our Florida print facility, weighed, and a federal postage receipt will be stamped. That postage receipt will be faxed to me within 24 hrs and will be then faxed to you. At that time tracers with be seeded into the mail. That mail is flown to your local distribution center, split and sent to the local post facilities. These are the same post facilities that we call and prepare for the Mail to arrive.
On Friday prior to your event, all post masters that will be handling your mail are contacted and informed of the incoming pallets of mail. Our staff then gets the postmasters commitment for delivery dates. These dates are then reconfirmed on the day the postmaster guaranteed delivery. These reports will be emailed to you upon each contact day for verification. Each report will also contain the amount of mail that each delivery center will receive. All these added up will match the amount of mail you have purchased for your 100% assurance that ALL of your mail was sent.
On Monday or Tuesday (Your choice) a “pre-sale” meeting will be held with your staff, via phone, to also prepare for the event.
Winning #’s for the vehicle give away, as well as log sheets for the event will be either faxed or email to you on the day before the event starts.
